TERMS & CONDITIONS

So that there is no confusion and less back-and-forth communication, please read our policies.

bookings, deposits, and payments

All bookings must be made at least 2 weeks in advance of your event date, unless we can fit your order into our schedule at the last minute. All bookings are not guaranteed. Bookings are made only if an order inquiry form is submitted, and we confirm all details. After confirming your order inquiry, you will receive a price quote, and if agreed upon, you will receive your invoice shortly after. Once you receive the invoice, a 50% down payment is required for all orders, unless the order total is under under $40. If $40 or under, payment must be paid in full. Clients must pay the 50% within 48 hours of receiving the invoice to hold their booking. If we do not receive a deposit by 48 hours, we have the right to continue to clients next in line, as we book on a first-come, first-served basis.

The remaining 50% shall be paid by the client no later than 7 days before the event date. Payments may be made easily via the invoice link sent via email. Other accepted payments are as follows: Venmo or PayPal.

Wild Flour Bakehouse is a home-based, one-person business. Because of this, accurate and complete information at the time of inquiry is essential for scheduling, planning, and preparation.

Clients are responsible for ensuring that all order details submitted in the inquiry form are correct and complete, including (but not limited to) event date, pickup time, quantities, flavors, themes, and design preferences. These details allow us to properly assess availability and confirm whether an order is a good fit. To ensure a smooth and low-stress experience for both parties, all custom order details must be finalized within a reasonable timeframe once communication has begun. If required decisions are delayed, frequently changed, or not aligned within the necessary planning window, Wild Flour Bakehouse reserves the right to decline or discontinue an order. This policy helps maintain consistent quality, protects scheduling availability, and allows us to balance business operations with family life. We unfortunately cannot wait for you to gather and confirm details afterward, as it is unfair to others who are waiting to have their inquiry answered. The said details are asked so we know when to make your order, and to reduce issues with scammers and no-shows, this policy is required to be followed.

order pickups

We kindly want to remind everyone that Wild Flour Bakehouse is a home-based business and does not have a storefront. Because our business is run entirely from our personal home, we ask that all orders be booked and scheduled in advance since everything is made-to-order. Please, do not arrive at our home without a confirmed pickup time. We plan weeks ahead for all our order pickups. If our porch gate is closed, we ask that it remain closed, unless you have a scheduled pickup and you have arrived at the proper pickup time. Please do not open the gate if you don't have a pickup appointment; it's a way for us to have privacy during the day. Please know the only time we allow no required appointments is when we do a self-serve porch stand, in which we always announce on our socials and email subscription. We truly appreciate everyone respecting those boundaries so we can continue doing what we love while keeping our family safe and comfortable.

allergens

Please be aware that all of our bakery equipment comes into regular contact with most, if not all, allergens, such as peanuts, pecans, walnuts, and other common allergens such as gluten, egg, and dairy products. While we try our best to stop cross-contamination, such as sanitation and washing all utensils and equipment, we bake ALL orders in a non-allergy-free kitchen. If you have a very sensitive or particularly high allergy to any of these, it is not recommended to consume any of our baked goods.

order changes

All changes to your order event date, designs, and flavors must be submitted in writing, by email, message, or contact form. Any changes need to be made no later than 5 days before your final payment date (12 days before your event date). Any changes requested after the 5 days may or may not be accepted. Regardless of the timeframe, depending on the circumstances and our suppliers for toppers, etc, we can never guarantee any changes once your order is booked. Sometimes we have to custom-order items that may take anywhere from a few days or weeks to ship.

designs and color matching

We will not duplicate an exact copy of someone else’s work. Any inspirational photos will be used as a guide. While we will do our absolute best for any color match requests, for a better match, you may send an item for us to work off of via mail, such as a fabric swatch. We cannot guarantee a good match from a photo. We also cannot guarantee to match any color 100% exactly or any glitter, shimmer, or metallic colors. We have the right to decline a specific design, especially licensed characters, inappropriate political statements, or rude images.

cancellation and rescheduling

All cancellations must be made in writing, by email, message, or through the contact form. We will send you a separate cancellation policy agreement that is required to be signed to confirm your cancellation. Clients are NOT subject to a full refund UNLESS the cancellation request is made at least 5 days before the final payment date. If you cancel after those 5 days, your refund will be reduced by the cost of any materials purchased or work that has already been completed for your order.

Please be aware that once your booking is canceled, we cannot guarantee any open bookings will be available, especially during busy months and holidays. Additionally, since our sweets are made to order, for this reason, payments are non-refundable if a cancellation is made later than 5 days before the final payment date.

If your event date changes, we are happy to accommodate as much as possible and reschedule your order free of charge, as long as we have the availability on your newly requested date and it’s not last-minute.

For any reason(s) Wild Flour Bakehouse chooses to cancel or not move forward with your request, we ask that you do not continue to go back and forth with us about the decision. We do what is best for our schedule, policies, and fairness for all our clients. This does not mean you cannot send in another inquiry with us, as we are more than happy to assist you again. It just means that the timeline and details didn’t work out this time around. Other incidents for cancellations include, but are not limited to: Family Emergencies, Emergency Travel, Doctors' Appointments, and Illness.

refunds and exchanges

Due to the orders being handmade, made-to-order food items, returns and exchanges are not applicable. For any other remaining issues, you will need to contact Wild Flour Bakehouse.  If there are any unsatisfactory issues after delivery or pickup, kindly send an email or use the contact form. Depending on the potential issue, a partial refund or discount on your next order MAY be offered, but not guaranteed.

order damages

Once an order is out of Wild Flour Bakehouse's hands, we are not responsible for any damage made to the order. Damages include, but are not limited to: Breaks, collapses, cracking, color bleed, and buttercream melting. Each order is inspected and packaged as safely as possible and is not handed over to the customer unless it is perfect and ready to go. This includes any shipped orders. We are not responsible, as each order is provided with specific instructions on how to care for and/or travel with the order. These instructions provide the necessary information on how to properly care for the order to avoid the above issues. Cookies are fragile, and break/cracks and color bleed can occur due to the way they were transported, bumps, fast stops or placements, and major temperature fluctuations. Cakes need to be in a well-chilled area until ready to serve, and to be transported as carefully as possible in a fully level manner or else collapse can occur.
